  • This position plays a key role in coordinating and managing the logistics of user studies that drive the development of advanced Virtual Reality (VR) and Augmented Reality (AR) products.

Profile of the Task

  • As an Onsite Logistics Coordinator, you will be at the center of our operations—managing the front desk, greeting participants, and ensuring that every individual involved in our research has a seamless experience.
  • You’ll support participant outreach, coordinate schedules, and maintain the smooth flow of daily operations.

Major Tasks for the Onsite Logistics Coordinator Post

  • Logistics Operations: Manage participant intake and scheduling for user studies. Coordinate participant timelines and respond quickly to scheduling changes.

  • Front Desk Management: Welcome participants, ensure NDAs are signed, and maintain a professional, organized front desk environment.

  • Participant Outreach: Communicate with participants to confirm attendance, provide updates, and address questions.

  • Environmental Setup: Support the logistics of data collection environments by ensuring proper setup, adjusting lighting, or configuring space as needed.

  • Feedback and Improvement: Collaborate with operations leads to provide feedback on process improvements and participant flow.

  • Troubleshooting: Assist with resolving technology or participant-related issues as they arise.

  • Administrative Support: Perform other tasks as assigned to support the project and operations team.

The Necessary Qualifications

  • Strong background in customer service and interpersonal communication.

  • Prior front desk or receptionist experience is highly preferred.

  • Excellent organizational skills with the ability to manage multiple tasks simultaneously.

  • Professional appearance, positive attitude, and attention to detail.

  • Technological proficiency, with familiarity in AI, machine learning, AR, and VR concepts.

  • Ability to thrive in a fast-paced, team-oriented environment.

  • Competence in Microsoft Office 365, including Outlook, Word, Excel, and SharePoint.

The Level of Education required

  • High school diploma or equivalent required; bachelor’s degree preferred.

  • Minimum of 3 years of experience in customer service, front desk, or logistics support roles.

  • Prior experience in tech or data collection environments is an advantage.
